Terms and Conditions

Introduction

These Terms and Conditions govern the booking and participation in tours and travel services provided by Star Gate Travels.

By confirming a booking with Star Gate Travels, you agree to be bound by these Terms and Conditions.

Star Gate Travels operates as a Sri Lanka tour operator led by a licensed National Guide registered with the Sri Lanka Tourism Development Authority (SLTDA).

Booking Confirmation

A booking is considered confirmed once:

A written confirmation is issued by Star Gate Travels
The required deposit or full payment is received

All bookings are subject to availability of hotels, transport, and services at the time of confirmation.

Payment Terms

Payment conditions may vary depending on the tour type and travel dates.

Standard payment terms:

A deposit may be required at the time of booking
Full payment must be completed prior to arrival in Sri Lanka
Payment deadlines will be clearly communicated in the invoice

Bank transfer charges and international transaction fees must be borne by the client unless otherwise agreed.

Cancellation Policy

Cancellation conditions depend on the booking period and hotel policies.

Typical cancellation structure:

More than 45 days before arrival: No cancellation charges or minimal administrative fee
Between 30 to 45 days before arrival: Partial cancellation charge
Less than 30 days before arrival: Higher cancellation charge up to 100 percent
No-shows or early departures: 100 percent charge

Exact cancellation terms will be stated in your tour confirmation invoice.

Refunds, where applicable, will be processed after deducting non-refundable expenses.

Changes to Itinerary

Star Gate Travels reserves the right to modify the itinerary due to:

Weather conditions
Government regulations
Road closures
National holidays
Safety concerns
Hotel availability

In such cases, alternative arrangements of similar standard will be provided whenever possible.

Clients may request itinerary modifications prior to arrival. Additional costs may apply.

Travel Insurance

Travel insurance is strongly recommended for all clients.

Insurance should cover:

Medical emergencies
Trip cancellations
Personal liability
Loss of baggage
Flight disruptions

Star Gate Travels is not responsible for losses that could have been covered by travel insurance.

Passport, Visa and Entry Requirements

Clients are responsible for:

Ensuring passport validity (minimum six months recommended)
Obtaining the appropriate visa or Electronic Travel Authorization (ETA)
Complying with immigration regulations

Star Gate Travels provides guidance but is not liable for visa rejections or entry denials.

Health and Medical Responsibility

Clients are responsible for ensuring they are medically fit to travel.

Star Gate Travels is not responsible for:

Pre-existing medical conditions
Personal health issues during the tour
Failure to disclose relevant health information

Clients must inform us in advance of any special medical or dietary requirements.

Limitation of Liability

Star Gate Travels acts as a tour operator and service organizer.

We are not liable for:

Acts of God
Natural disasters
Political unrest
Airline delays or cancellations
Hotel overbooking beyond our control
Injuries resulting from client negligence
Loss or theft of personal belongings

While we take all reasonable precautions, travel inherently involves certain risks.

Client Conduct

Clients are expected to behave respectfully and responsibly during the tour.

Star Gate Travels reserves the right to refuse service to any client whose behavior:

Is disruptive
Is illegal
Puts others at risk
Disrespects religious or cultural sites

No refund will be issued in cases of removal due to misconduct.

Force Majeure

Star Gate Travels shall not be held responsible for failure to perform services due to circumstances beyond our control, including but not limited to:

Natural disasters
Government actions
Pandemics
Civil unrest
Transportation strikes

In such cases, reasonable alternative arrangements will be attempted where possible.

Governing Law

These Terms and Conditions are governed by the laws of Sri Lanka.

Any disputes arising from travel services shall be subject to the jurisdiction of Sri Lankan courts.

Acceptance of Terms

By confirming a booking and making payment, the client acknowledges acceptance of these Terms and Conditions.
